Description:
Key ResponsibilitiesAdministrative Support Prepare, format, and distribute inspection reports and compliance documentation. Maintain filing systems (digital and physical) for inspection records, certificates, and client correspondence. Handle incoming calls, emails, and client queries professionally. Act as the first point of contact for clients regarding inspection scheduling and documentation. Support the team in preparing presentations or proposals for clients Scheduling & Coordination Manage team calendar, booking site visits and client meetings. Coordinate logistics for inspections, including travel arrangements and site access requirements. Track deadlines for follow-up inspections and compliance checks. Data Management Capture inspection data into company systems and update client records. Generate spreadsheets and summaries for management reporting. Ensure accuracy and confidentiality of all records. Support the team in preparing files / documents for audit purposes.
Skills & Competencies
Strong organizational and time-management skills. Excellent written and verbal communication. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint). Knowledge of ERP system (Syspro preferred) Attention to detail and accuracy in record-keeping. Ability to multitask and prioritize under pressure. Professional demeanor when dealing with clients and stakeholders. Qualifications & Experience
Matric (Grade 12) required; relevant diploma/certificate in Administration advantageous. 23 years experience in an administrative role, preferably in technical or compliance-driven industries.Knowledge of occupational health and safety standards is beneficial
