Description:
The Procurement Officer will be responsible for the end-to-end sourcing, purchasing, receiving, and processing of spare parts required by workshop mechanics, ensuring parts are sourced cost-effectively, delivered timeously, and accurately recorded on the system.This is a hands-on, urgent operational role requiring strong supplier coordination and close interaction with workshop staff.
Key Responsibilities
Procurement & Sourcing
Receive spare parts requests from mechanics. Source and request quotations from multiple suppliers. Identify alternative or hard-to-find parts when required. Compare and summarise supplier quotations clearly for mechanics. Ensure all quotations and purchase orders are authorised by the Workshop Manager. Ordering & Follow-Up
Place approved orders with suppliers. Actively follow up on ETAs and manage delivery timelines. Communicate delays or shortages to relevant workshop personnel. Receiving & Stock Control
Receive parts upon delivery and verify against purchase orders. Identify and manage backorders or short deliveries. Notify mechanics when parts are ready for collection. System & Financial Processing
GRV (Goods Received Voucher) all parts accurately on Evolution. Ensure supplier invoices are correctly matched to GRVs. Submit processed invoices to the accounts department for payment. Systems & Tools
Experience using Evolution ERP (or similar ERP system) is highly advantageous. Language Requirements
Fluent in English and Afrikaans (spoken and written) essential
Candidate Profile
Previous experience in procurement or parts buying, preferably within: Heavy plant equipment Diesel engines Construction or mining machinery Strong understanding of mechanical spare parts terminology. Comfortable working in a fast-paced workshop environment. Able to communicate clearly with mechanics, workshop managers, suppliers, and accounts staff.
