We are seeking an organized, professional, and highly motivated Administrative Assistant with excellent English communication skills for a Graphic Design company. This individual will be responsible for overseeing workflow, coordinating between teams, and ensuring smooth day-to-day operations. The ideal candidate is proactive, detail-oriented, and comfortable managing multiple responsibilities.

Responsibilities:

  • Permitting coordination – managing documentation and submission processes for signage permits.
  • Answering and managing communications – responding professionally to emails, phone calls, and WhatsApp messages from clients and partners
  • Social media management – maintaining company presence on social platforms, posting content, and handling basic inquiries
  • Invoicing – preparing and sending client invoices as directed
  • Bookkeeping – basic financial tracking and organization
  • Artwork support – assisting with organization and coordination of design files
  • Track job progress and communicate details with designers and installation teams

Requirements:

  • Supportive of creative workflows (file handling, coordination)
  • Independent, proactive, and dependable
  • Previous experience in administrative or coordination roles a plus
  • Experience in signage, design, or related industries preferred a plus
  • Familiarity with permitting processes and invoicing tools a plus
  • Schedule is Monday-Friday. 9am-6pm EST
