Description:
A leading commodities and international trade company is looking for an experienced Senior Documentation Controller with strong experience in export, trade finance, and operational documentation to join their team in Johannesburg. This role is responsible for overseeing end-to-end trade documentation, ensuring compliance with Letters of Credit, international trade regulations, and banking requirements, while acting as the senior escalation point for complex documentation and compliance matters.
Responsibilities:

Oversee and validate all export and trade documentation in line with Letters of Credit, Incoterms, and international trade rules
-
Manage high-risk documentation sets including Bills of Lading, Certificates of Origin, Certificates of Analysis, Certificates of Weight, CIQ, and commercial invoices
-
Resolve documentation discrepancies with banks and counterparties to minimise financial and operational risk
-
Review, amend, and finalise sales and purchase contracts in collaboration with internal stakeholders
-
Coordinate documentation workflows with buyers, suppliers, surveyors, shipping agents, and banks
-
Monitor contractual milestones, shipment deadlines, and payment flows
-
Oversee payment tracking, reconciliation, and related banking documentation
-
Ensure audit-ready documentation and best-practice electronic filing and retention
-
Drive standardisation, process improvements, and documentation workflow optimisation
-
Monitor regulatory changes and ensure ongoing compliance with trade, customs, and sanctions requirements

Support KYC/AML processes and internal compliance controls
-
Act as senior escalation point for documentation issues across multiple regions and functions

Participate in operational meetings, system upgrades, and internal improvement initiatives
Requirements:

Minimum 7 years’ experience in trade documentation, export operations, or logistics documentation

Strong expertise in Letters of Credit, UCP rules, Incoterms, and international trade finance processes
-
Proven experience handling complex export documentation and bank discrepancies
-
Background in commodity trading, shipping, mining/metals, or trade finance environments
-
Strong understanding of global import/export regulations and compliance requirements
-
Proficiency in EDMS, ERP systems, SharePoint, and advanced Excel
-
Excellent attention to detail with the ability to manage high volumes under pressure
-
Strong communication skills and ability to work cross-functionally
-
Experience in senior or escalation-level documentation roles
