KEY RESPONSIBILITIESFront of House & Reception
Warmly welcome and assist all visitors, clients, and stakeholders. Manage reception operations, including answering calls, directing queries, and maintaining visitor logs. Open and close of office for early and late meetings, as required. Ensure the reception area, waiting rooms, and meeting spaces are tidy, well-presented, and stocked. Coordinate hospitality for meetings, including refreshments and room setup.
CEO Office Administrative Support
Manage the CEO offices incoming calls, documents, and general enquiries. Assist the Executive Assistant with daily administrative tasks, including scheduling, preparing documents, and coordinating meeting logistics. Support with the preparation of presentations, briefing notes, and meeting packs when required. Handle confidential information with the highest level of discretion and professionalism. Assist in coordinating internal and external engagements for the CEOs office.
Office Coordination
Manage courier services, mail distribution, and deliveries. Oversee office supplies, stationery, and front-of-house resources. Work closely with facilities and IT to ensure smooth day-to-day operations. Assist in organising internal events, CEO-led sessions, and staff functions.
Stakeholder Interaction
Build strong relationships with internal staff at all levels. Liaise with vendors, partners, clients, and executive visitors on behalf of the CEO office. Provide high-touch service to senior stakeholders and VIPs.
Required Skills & Competencies
Exceptional communication skills (verbal, written, and interpersonal). Strong organisational abilities with excellent attention to detail. Professional presence and customer-service mindset. Ability to prioritise, multitask, and handle pressure gracefully. High level of integrity and discretion with confidential information. Proactive, solution-driven, and able to anticipate needs.
Qualifications & Experience
Matric/Grade 12 (ESSENTIAL). Certification in Office Administration, Business Support, or similar (ADVANTAGEOUS). 24 years experience in front-of-house, reception, or administrative support roles (ESSENTIAL). Experience supporting executives or exposure to an executive office environment (ESSENTIAL). Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) ESSENTIAL.
