Description:

Duties:

Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
Answering screening and forwarding incoming phone calls as well as taking accurate messages and relaying
Provide basic and accurate information in-person and via phone/email
Order Office supplies and keeping inventory thereof
Making tea and coffee for visitors
Opening and receiving paperwork from stores and boxing / distributing thereof
Maintain office security by following safety procedures and controlling access (monitor logbook, issue visitor parking cards)
Collecting, receiving and sorting daily mail and deliveries
Requesting of all outstanding banking documentation for Debtors & Creditors
Scanning and filing of all Petty Cash slips
Completing of all paperwork & contracts as required by supervisor
Updating of store and staff contact details workbook.
Scheduling of annual services and 3rd party contractors
Ordering of printer ink and Logging calls for repairs
Licensing of Company Vehicles
Additional overflow of duties / establishing gaps as role grows
Order and shop for management and staff meals
Filing of POPs for creditors weekly and monthly payments
Ensuring the storeroom and office paperwork is boxed and archived
Completing printer readings workbook and recon on a monthly basis
Request and compile printer readings on a monthly basis for all stores and offices
Receiving of courier parcels and filing of waybills
Arrange courier collections and distribute uniforms or spares received to correct stores
Perform other clerical receptionist duties such as filing, scanning and photocopying

Requirements:

Grade 12
A formal qualification will be an advantage
At least 1+ years experience in an administrative or reception position
A valid driver's license will be an advantage
