Duties & Responsibilities
1. Tender Administration and Management
The Tender and Procurement Administrator will be responsible for the full tender lifecycle, including but not limited to:
• Monitoring tender portals, advertisements, and client communications for new tender opportunities.
• Receiving and registering tender documents and ensuring all documentation is complete upon receipt.
• Attending tender briefings, site inspections, and clarification meetings where required, and accurately recording all relevant information, requirements, and clarifications.
• Thoroughly reading and interpreting tender documents, including instructions to tenderers, scope of work, evaluation criteria, and contractual requirements.
• Completing all tender documentation with extreme accuracy and due diligence, ensuring that all forms, declarations, schedules, and returnable documents are fully and correctly completed.
• Coordinating internal inputs required for tender submissions, including pricing, technical information, compliance documentation, and supporting schedules.
• Completing Bills of Quantities, pricing schedules, and returnable financial documents accurately and in line with tender requirements.
• Ensuring that all tender submissions are compiled, packaged, and delivered in the correct format and submitted before the stipulated deadlines, whether electronically or physically.
• Maintaining a detailed and up-to-date tender register reflecting tenders issued, submitted, awarded, unsuccessful bids, and pending evaluations.
• Managing post-submission correspondence, including responding to clarification requests and evaluation queries from clients or procurement entities.
