Description:
Job Purpose
The Receiving & Dispatch Manager is responsible for overseeing all receiving, storage, stock control, and dispatch operations in line with SPAR operating procedures and standards . This role ensures accurate stock handling, accurate receiving and dispatch of goods, compliance with food safety and health regulations, and effective team management.
Key Responsibilities
Receiving Operations
- Manage and supervise all receiving of stock from suppliers and SPAR distribution centers
- Ensure all deliveries are checked by purchase orders, delivery schedules, invoices and recorded as per the given system.
- Resolve delivery discrepancies and liaise with suppliers and head office
- Ensure correct documentation and system capturing of received stock
Dispatch Operations
- Plan, coordinate, and manage dispatch of goods to stores, departments, or customers
- Ensure accurate picking, packing, and loading of stock
- Maintain dispatch schedules and meet delivery timelines
- Ensure correct dispatch documentation and stock movement records
Stock Control & Inventory
- Maintain accurate stock records and conduct regular stock counts
- Investigate and report stock variances, losses, or damages
- Ensure proper storage, rotation (FIFO/FEFO), and handling of goods
- Documenting any supplier claims keeps record as per food safety regulation.
- Maintain neat and well packed good receiving area.
- Maintain a clean and safe yard in control of all damage & returns & make sure processes are adhered to.
Team Leadership & Supervision
- Lead, train, and supervise receiving and dispatch staff
- Ensure staff follow SPAR procedures, safety rules, and performance standards
- Manage staff schedules, productivity, and discipline where necessary
- Promote a culture of accountability, accuracy, and teamwork
Compliance, Safety & Hygiene
- Ensure compliance with SPAR operational standards , food safety, and hygiene regulations
- Enforce health and safety procedures within receiving and dispatch areas
- Maintain cleanliness and organization of warehouse and receiving bays
Reporting & Communication
- Prepare daily, weekly, and monthly operational reports
- Communicate effectively with store management, suppliers, transport teams, and head office
- Support internal and external audits
