General Function:
Supervise and coordinate the activities of the guest house service workers and other hospitality workers.
FRONT OFFICE and RECEPTION DUTIES:
Manage the Front Office for reservation, reception, room service and housekeeping activities.
Welcome guest to the lodge.
Assist at reception with the check in.
Assists guests by attending to and carrying luggage, welcoming and escorting guests, and attending to their general needs on arrival and departure.
Explain to guest how all items in room works.
Assist with any problems/ requests
Manage the float by collecting cash/ credit payments from guests.
Assist with group check in.
Assist with data collection for reception in order to ensure charges are done correctly.
Assist with check out.
Answer all telephone calls to the lodge.
Ensure at all times that the guest experience service of an acceptable level.
Arrange cleaning and maintenance of rooms, bathrooms and grounds.
Responsible for all accounting and purchasing activities.
Ensure compliance with Occupational Health and Safety regulations.
FINANCIAL
Manage all credit cards and money activities with an overview of purchasing procedures for the lodge.
Assist the Chef in the monthly purchasing of goods and products.
Compile monthly meal-budgets for the staff.
Ensure that all guests are charged correctly.
Ensure all dockets are signed by the guest.
Ensure all floats are accounted for and checked on a regular basis
HOUSEKEEPING and ROOM SERVICE
Check rooms prior to arrivals, during stay over and with departures.
Report any maintenance issues to the CEO.
Over weekends it may be required to make an additional bed for a guest. The staff must be willing to perform this task and any other to ensure that the room is correct to the request of the guests.
DETERMINING WORK REQUIREMENTS and ALLOCATING DUTIES:
Overseeing the work of the guest house and suggesting improvements and changes by controlling the selection, training and supervision of staff.
Maintain and monitor attendance records of employees.
Explaining and enforcing safety regulations.
CONFERRING WITH WORKERS TO RESOLVE GRIEVANCES
Follow in house grievance procedure.
PLANNING and SUPERVISING BAR, RESTAURANT and CONFERENCE ACTIVITIES:
Assist Chef with:
Setting and arranging tables.
Greeting guests and presenting them with the menu and drink list.
Serving breakfast to guests.
Assessing and reviewing guest satisfaction.
Promoting facilities, conference, conventions and trade shows to potential customers.
RESTAURANT and BAR AREA
Supervising bar activities by preparing, serving mixed drinks, canned and other alcoholic and non-alcoholic drinks.
Replenishing drink dispensers, shelves and refrigerators.
Supervising restaurant area by serving breakfasts or dinners to guests (either in the restaurant area or in their rooms).
Preparing, serving and selling cocktails, mixed drinks, bottled, canned and other alcoholic and non-alcoholic drinks.
Take care of any special requests.
Ensure the front office and bar service areas are clean and fully functional and effective at all times.
KITCHEN RESPONSIBILITIES
Front Desk Agents must be able and willing to perform cooking when the chef is off duty.
This will include: Breakfast, Room Service and any appropriate dinners or functions.
Assist Chef with food preparation for functions.
Maintain and follow the standards implemented by the Head Chef.
MARKETING
Plan and administer marketing and sales programs to foster and promote Lodge's guestrooms, catering services, and conference facilities through direct client contact to maximize total rooms revenues.
Establish client base of organisations, associations, and corporate business through direct outside and inside sales, in order to secure business for the lodge
Develop and maintain relationship with key clients in order to produce group and/ or convention business.
Forecast and accurately record all bookings and cancellations for lodge.
Develop and maintain marketing plans and sales budgets with the CEO.
Schedule sales and marketing appointments with current and potential clients.
Conducts a required amount of cold calls.
Maintain a professional image at all times through appearance and dress.
SAFETY
Enforcing safety regulations at the lodge by ensuring that all doors and windows are locked, lights are switched off and the alarm is activated.
Ensure maximum security in all areas under control.
GENERAL
Ensure that any first aid or fire action is taken speedily as required.
Be punctual.
To be available to work extra time.
To be familiar with rules and regulations and security procedures.
Attend meetings as requested.
To perform any other reasonable duties as prescribed by the management.
This position is subject to company s policies and rules.
Requirements:
- Hospitality Service: 2 to 3 years
Grade 12 or equivalent qualification
Previous restaurant, bar or hospitality experience
Staff management experience
MUST BE WILLING TO WORK NIGHT SHIFT
