Job DescriptionThe Assistant Events Manager supports the Events Manager in planning, coordinating, and executing events from start to finish. This role ensures that all logistical, operational, and administrative components of events are managed efficiently. The Assistant Events Manager acts as a liaison between clients, suppliers, and internal teams, ensuring smooth communication and exceptional service delivery.They play an integral role in site preparations, event set-ups, vendor coordination, staff supervision, budgeting, and post-event reporting. This position requires strong organisational skills, attention to detail, and the ability to thrive in a fast-paced environment with tight deadlines. Event Planning & CoordinationAssist in developing event concepts, timelines, and schedules.Support the creation of event plans, run sheets, and operational documentation.Conduct venue inspections and arrange site logistics.Manage event-related administration, including bookings, permits, and contracts.Client & Stakeholder LiaisonCommunicate directly with clients to understand event requirements.Attend client meetings and provide support during the planning process.Coordinate with suppliers, vendors, and service providers.Ensure all stakeholders receive timely updates and instructions.On-Site Event ManagementAssist with event set-up, décor installation, technical arrangements, and layout execution.Supervise event staff, including waiters, hosts, and support teams.Troubleshoot issues on the day to ensure smooth operation.Monitor event flow and ensure timelines are maintained.Budget & AdministrationAssist with budgeting, supplier quotations, and cost tracking.Support invoice processing and reconciliation.Maintain organised event files, checklists, and reports.Post-Event DutiesParticipate in debrief meetings and provide input on event improvements.Assist with post-event reporting and feedback collection. Qualifications- Diploma or degree in Events Management, Hospitality, Marketing, or related field (preferred).
- Additional training or short courses in event planning is advantageous.
- 1–3 years experience in event coordination, hospitality, or a similar role.
- Experience working with suppliers, venues, and clients.
- Previous experience managing staff on event days is a plus.
- Strong organisational and planning skills.
- Proficiency in MS Office (Excel, Word, Outlook).
- Knowledge of event management tools/software (advantageous).
- Understanding of event logistics, décor, and floor layouts.
- Excellent communication and interpersonal skills.
- Strong problem-solving abilities and quick decision-making.
- High attention to detail and ability to multitask.
- Creativity in proposing event solutions and enhancements.
- Ability to work under pressure and meet tight deadlines.
- Customer-service oriented with a professional demeanor.
- Must be able to work evenings, weekends, and public holidays when required.
- Ability to stand for extended periods and assist with light physical tasks.
