REQUIREMENTS:
- 0 - 2 years experience required in administration, sales and stock control
- Matriculated (Grade 12)
- Computer literate
- Valid driver’s license
DUTIES:
- Sales:
- Consistently meet and exceed sales targets
- Drive sales and market share by promoting brand-building efforts
- Attend to administrative tasks related to sales
- Achieve monthly sales targets, including activity ratios
- Follow up on all quotations issued to customers
- Secure new customers
- Upsell to existing accounts
- Process all quotes for new and existing business
- Distribute all quotes to customers
- Attend to all walk-in customers
- Generate new job cards
- Create new product codes in Excel and Pastel, and adjust selling prices when required
- Generate new contracts and job lists (Contract Creation)
- Arrange for new accounts to be approved and/or opened
- Upon approval, provide clients with a welcome letter confirming:
- Account details
- Contact details of key staff
- Admin & Reports:
- Accurately report sales activities and market-related issues
- Ensure compliance with company policies and procedures
- Adhere to good corporate governance and ethical conduct
- Maintain the prospect report
- Maintain the pipeline (quote) report
- Maintain a weekly/monthly call schedule
- Update the monthly new client schedule and distribute it to the Branch Manager
- Prepare and distribute the monthly turnover report to the Branch Manager
- Prepare and distribute the new account and lost business summary to the Branch Manager monthly
- Ensure history is retained and updated
- Forecast stock based on sales predictions
- Ensure sufficient stock levels for Branch Sales
- Maintain stock above minimum stock levels
- Order goods from approved suppliers
- Process claims and returns for damaged goods with suppliers
- Identify slow-moving and obsolete stock
- Advise the Branch Manager of slow-moving and obsolete stock
- Follow-up on stock deliveries
- Distribute administrative documents to relevant departments
- Implement and maintain administrative policies and procedures
- Order stationery and cleaning materials
- File stock orders and other documents
- Respond to correspondence from clients, technicians, and contractors
- Ensure cost and selling price lists are updated at all times
- Warehousing:
- Manage assets effectively
- Apply access controls and safeguard stock
- Open and lock store doors/gates daily
- Provide safe storage at all times
- Ensure good housekeeping, packing, and stacking
- Keep the storeroom clean
- Receipt and dispatch of goods
- Verify and confirm quantities of received and dispatched goods
- Book in stock
- Issue stock to technicians
- Track technician stock usage on a monthly basis
- Conduct weekly ad hoc stock counts
- Facilitate and conduct monthly stock take
- Follow-up on stock deliveries
- Attend to technician vehicle stock take
- Order and distribute PPE and tools for technicians
- Collect stock as required
- Dress Code:
- Maintain corporate image and identity
- Ensure all staff wear appropriate safety outfits
- Environmental Health and Safety:
- Ensure a safe and professional working environment
- Comply with health and safety regulations at all times
- Assume responsibility for the safe conduct of all employees

- Oversee safe and effective work practices for yard cleaner
- Attend to building maintenance
- Conduct technician vehicle inspections with the Branch Manager
- Pick up paper and rubbish in the yard when required
- Ensure cans are emptied in the prescribed manner
- Arrange for bins to be emptied as required
- Manage waste disposal according to regulations
- General:
- Perform any ad-hoc tasks as requested by Management
HOURS:
- Monday to Friday: 07:30 – 16:30
