Description:
The Events Manager is responsible for planning, coordinating, and executing all events hosted by the game lodge, including weddings, conferences, group retreats, special celebrations, and corporate functions. This role ensures that each event is delivered at the highest standard, reflecting the lodge’s brand and commitment to exceptional guest experiences. The Events Manager works closely with operational teams to ensure seamless service delivery from pre-event planning to post-event evaluation.Key ResponsibilitiesEvent Planning & CoordinationDevelop detailed event proposals, itineraries, and schedules based on client requirements.Conduct site inspections and client consultations to understand event objectives.Design and manage event layouts, décor themes, and logistics.Coordinate with kitchen, housekeeping, activities/ranger teams, and maintenance to ensure event readiness.Event ExecutionLead the setup, running, and breakdown of all events.Ensure high-quality presentation, service flow, and guest satisfaction.Troubleshoot issues in real time to avoid service disruptions.Manage late changes, weather-related adjustments (important in lodges), and special requests professionally.Client Communication & Relationship ManagementServe as the primary point of contact for event clients before, during, and after events.Maintain a high level of communication, including updates, confirmations, and post-event feedback.Build long-term client relationships to encourage repeat business.Budgeting & AdministrationPrepare quotations, budgets, and invoices.Manage event costs and ensure profitability.Maintain accurate event files, contracts, and supplier agreements.Work with marketing to promote event offerings and seasonal packages.Team LeadershipSupervise event staff, service teams, and external vendors.Organize briefings and ensure all staff understand event expectations.Provide training to staff on service excellence and event standards.Health, Safety, and Environmental Complianc...
