JOB OVERVIEW:

An experienced and highly motivated Soft Services Operations Manager to oversee the daily operations of cleaning, hygiene, landscaping, pest control, and parking management services for the Department of Trade, Industry and Competition (dtic). The ideal candidate will be responsible for ensuring that BSS, as a subcontractor to Broll, consistently provides a clean, safe, and well-maintained working environment for employees and visitors. They will work closely with various departments, including HR, IT, and Facilities Management, to deliver exceptional service while adhering to budget constraints and regulatory requirements.

KEY RESPONSIBILITIES:

1. Develop and implement standard operating procedures (SOPs) and guidelines for cleaning, hygiene, pest control, landscaping, and parking management services.
2. Oversee the daily operations of soft services staff, including cleaners, janitors, pest control technicians, landscapers, and parking attendants.
3. Manage contracts and service level agreements (SLAs) with clients, external vendors, and suppliers for cleaning, hygiene, pest control, landscaping, and parking management services.
4. Ensure compliance with health and safety regulations, environmental guidelines, and industry best practices.
5. Establish and monitor key performance indicators (KPIs) to measure the effectiveness of soft services operations.
6. Conduct regular audits and inspections to assess the quality of services and identify areas for improvement.
7. Develop, manage, and assist with budgets for cleaning, hygiene, pest control, landscaping, and parking management services.
8. Identify and implement cost-saving initiatives and efficiency improvements.
9. Provide training, guidance, and support to soft services staff to ensure they have the necessary skills and knowledge to perform their tasks effectively.
10. Address concerns, complaints, or feedback from clients related to soft services, ensuring a high level of satisfaction and positive experiences.
11. Coordinate with Facilities Management counterparts to ensure smooth operations and integration of soft services with other facility functions.
12. Collaborate with HR and IT departments to address any personnel or technology-related issues affecting soft services.
13. Manage inventory and procurement of cleaning supplies, pest control materials, landscaping equipment, and parking management tools.
14. Prepare reports and updates on the performance and effectiveness of soft services operations for senior management or other stakeholders.
15. Implement and maintain sustainable practices and environmental stewardship in all soft services operations.
16. Stay up-to-date with industry trends, best practices, and technological advancements in the fields of cleaning, hygiene, pest control, landscaping, and parking management.
17. Develop and maintain positive relationships with clients, external vendors, suppliers, and partners.
18. Coordinate and manage special projects, such as facility renovations, upgrades, or expansions, as needed.
19. Participate in emergency preparedness and response planning for the organization.
20. Perform other duties as assigned by management or as required by the needs of the organization.

QUALIFICATIONS & EXPERIENCE:

1. Matric & a minimum of 5 years of experience in soft services operations, supervision, or management.
2. Proven experience in managing cleaning, hygiene, pest control, landscaping, and parking management services.
3. Strong knowledge of health and safety regulations, environmental guidelines, and industry best practices.
4. Excellent leadership and people management skills.
5. Strong problem-solving, decision-making, and analytical skills.
6. Exceptional communication and interpersonal skills, with the ability to work effectively with diverse teams and stakeholders.
7. Budgeting and financial management experience, including cost control and analysis.
8. Experience in contract management and negotiation.
9. Knowledge of sustainable practices and environmental stewardship in facility management.
10. Proficient in Microsoft Office Suite and other relevant software applications.
11. Ability to prioritize and manage multiple tasks, projects, and deadlines.
12. Experience in managing operations across multiple facilities is preferred.
13. Certifications or specialized training in areas such as health and safety, environmental management, or contract management are highly desirable.
14. A valid driver's license and the ability to travel between facilities as needed.
