Stock Controller/Administrator (Automotive Dealership) – POS25192
Based: Meadowdale
Salary: R8000 – R10 000 pm
Role Summary
The Stock Controller is responsible for the accurate recording, tracking, and reconciliation of all vehicle inventory across the dealership. This includes managing the flow of new and used vehicles, coordinating documentation and registration, and ensuring all vehicles are correctly prepared for sale or delivery. The Stock Controller plays a critical role in supporting efficient dealership operations, maintaining compliance with internal policies and OEM standards, and ensuring the accuracy of all vehicle-related records. This position works closely with sales, admin, and workshop teams to streamline processes and contribute to a seamless customer experience.
Minimum Requirements
· 2–3 years of experience in a stock control role within an automotive dealership environment.
· Thorough understanding of automotive stock control processes, including licensing and registration procedures .
· Proficient in dealer management systems (e.g., Kerridge/CDK or similar platforms).
· Exceptional attention to detail , accuracy, and strong organizational skills.
· Ability to work effectively under pressure and manage multiple priorities.
· Strong communication skills and a collaborative team approach.
· Exposure to multi-brand dealership operations (advantageous).
· Familiarity with used vehicle stock control (added advantage).
· Demonstrates high integrity , accountability , and professionalism.
· Proactive, reliable , and self-motivated with a solutions-driven mindset .
· Well-disciplined with the ability to work independently and take initiative.
Key Responsibilities (include but not limited to):
Vehicle Stock Management
· Maintain accurate, up-to-date records of all vehicle inventory, ensuring alignment between physical stock and system data (e.g., dealer management system and floorplan).
· Manage the receipt, registration, internal movement, and dispatch of vehicles both on and off-site.
· Ensure all relevant documentation is complete and properly filed (e.g., registration papers, licensing, proof of ownership).
· Update and track stock status daily (e.g., sold units, vehicles in transit, or ready for sale).
Audit & Compliance
· Conduct regular physical stock audits; investigate and resolve any discrepancies promptly.
· Ensure all vehicle-related processes comply with internal policies and external licensing or regulatory requirements.
· Assist in preparing for OEM and dealership group audits, maintaining all supporting documentation and logs.
Administration
· Work in close coordination with the sales administration team to ensure accurate and timely processing of all vehicle transactions.
· Communicate with suppliers, licensing departments, and logistics partners to ensure seamless operations.
· Maintain accurate logs of outstanding orders, expected vehicle deliveries, and procurement statuses.
Interdepartmental Coordination
· Collaborate with the sales team to ensure all showroom and display vehicles are correctly positioned, clean, and market-ready.
· Work with Workshop / PDI (Pre-Delivery Inspection) teams to manage and monitor vehicle preparation and delivery timelines.
