My client is on the hunt for a polished and proactive Receptionist / Administrator to join their property management team at their Table View office in Cape Town.Only candidates living in the surrounding areas of Table View will be considered.- This is a client-facing, in-office role where you’ll be the first impression for walk-ins, tenants, owners, and contractors - while keeping the back-end admin running like a well-oiled machine.
You’ll be supporting Property Managers with everything from lease paperwork to maintenance scheduling, so attention to detail and people skills are a must.
Key Responsibilities
Front Desk & Reception
- Greet and assist clients, tenants, and service providers in a warm, professional manner
- Manage a busy switchboard: direct calls, take messages, and respond to general queries
- Maintain a clean, organised front office and reception area
- Handle incoming/outgoing mail, courier bookings, and deliveries
- Take instruction from Property Managers and action tasks accordingly
- Contact contractors and service providers to arrange quotes, schedule repairs, and follow up on job completion
- Log maintenance requests and update records with status reports
- Draft and send out agreements, renewals, and other documentation
- Assist with monthly notices, and general communication
- Coordinate key contractors and trustee appiontments, and property inspections
- Keep filing systems (digital and hard copy) organised and up to date
- Minimum 2 years’ experience in a receptionist/admin support role
- Background in property management / Homeowner Association and Body Corporate administration
- Strong organisational skills and the ability to prioritise tasks independently
- Excellent communication skills – written and verbal (English & Afrikaans essential)
- Solid computer literacy – MS Word, Excel, Outlook, and comfort with learning internal systems
- Professional and friendly demeanour – able to deal with tenants, landlords, and contractors tactfully
- Matric certificate is essential
