Description:
Job Purpose
Administrates and co-ordinates day-to-day activities of the bid office and to provides support to tender submissions associated bid documentation. Responsible for quality proposal/Bids documents and responding to inbound leads, in order to allow the business to respond more promptly to potential customers.
Key Responsibilities
- To contribute towards team cohesion to achieve results of professional bid environment.
- Planning and coordinating the submission of Bids proposal and tender documents ensuring that submission deadlines are met, and the business submit the best Completed Tender proposal possible
- Printing, Completing, assembling, binding and dispatching the final proposal / tender documents
- Read the Tender in order to understand Company Returnable including the Functionality Criteria and draft a Checklist.
- Improving and updating existing generic (non-technical) content used within proposal documents
- Writing and editing new content which can be subsequently reused in future tender documents
- Quality assurance and proof reading of the final proposal / tender documents
- Coordinating and improving the tender submission process
- Co-ordination, compilation, accurately and timeously completion of tender documents
- Ensuring compliance to tender administrative and mandatory requirements
- Review of CV’s, Qualifications, References, Company returnable documents and Certificates to align to mandatory tender requirements.
- Ensure Tender information kept on SharePoint is updated and properly logged in appropriate folders providing efficient response time to pull up data on the SharePoint.
- Ensure that the bid process is followed, and proper templates are used.
- Follow up on tenders submitted and maintain a database.
- Update all spreadsheets, databases and records
- Maintain necessary filling system on a monthly basis.
- Taking Minutes of Sales/Tender Meetings
- Provide general administrative and other clerical support as assigned
