ADVISORY ASSISTANT PURPOSE OF JOBProvide administration and support to Advisors in relation to client relationships and key business drivers: retention and acquisition of clients.KEY RELATIONSAll clients, possible leads,Internal clients, Finance department Operations, Help desk, Administration (Both Local and Abroad)External service providers. Pension fund Administrators, IFA’s, Financial Service Providers,QUALIFICATION MatricPreferable tertiary qualification.Preference to Investment Management, Financial planning, Accounting, Tax or CFP.EXPERIENCEIdeally 3-5 years’ experience in an advisory practice.COMPUTER COMPETENCY REQUIREMENTS In-house system : Tyrus and CitazenMicrosoft packages1. Client Onboarding & Administration
- Prepare and manage client onboarding packs and supporting documentation
- Ensure accurate data capturing on internal systems
- Follow up on outstanding forms, FICA documents, mandates, and applications
- Submit, track, and monitor all investment instructions (e.g., new business, top-ups, withdrawals, switches, transfers, maturities)
- Liaise with internal teams and providers to ensure timely processing
2. Diary & Meeting Coordination
- Manage Wealth Manager’s calendar and book client meetings
- Prepare agendas and meeting packs
- Capture meeting minutes and follow through on action items
3. Financial Processing & Compliance
- Perform basic investment and tax calculations as requested
- Assist with tax directives, recoupment options, and simulations
- Ensure all client files are compliant (FAIS & FICA) and documentation is up to date
4. Client Service & Communication
- Handle client queries and provide updates on instruction progress
- Build rapport through regular communication and professional service
- Coordinate signing of documents and send client gifts/cards for special occasions
5. Team & Office Support
- Mentor junior team members or assistants
- Participate in key events such as annual reviews and client presentations
- Provide general office support where needed
