Description:
Payroll Management
o Manage/oversee the accurate and timely payroll processing.
o Checking weekly that all updated hours are done per department weekly and send to Financial Manager
o Maintain payroll records and address employee payroll queries.
o Plan and manage with department head all leave balances within the allocated annual days.
Employee Lifecycle Management
Recruitment and Selection
o Collaborate with hiring managers to define job requirements, draft the required job outline for the various positions.
o Coordinate with recruitment agencies where applicable.
o Manage the end-to-end recruitment process, including screening, interviews, reference recording and offer negotiations.
o Ensure entire HR pack is completed with all required information for onboarding purposes within 2 weeks of starting work
o Onboarding and Induction
o Design and execute induction programs for new hires, ensuring alignment with company culture.
o Onboarding old staff during off-season, ensuring all staff goes through the induction at least once per year
o Conduct onboarding sessions, including all documentation and policy training – weekly dates.
o Offboarding
o Manage resignation and termination processes, ensuring compliance with legal requirements.
o Conduct exit interviews and provide insights for retention strategies.
Filing and Documentation
o Maintain and update all employee records, ensuring availability and compliance with data protection laws (POPIA).
o Maintain a manual and electronic employee details record for easy access by authorised personnel.
o Prepare documentation for audits and compliance checks by Department of Labour.
Reporting
o Weekly Reports
o Recruitment progress and pipeline updates.
o Disciplinary and grievance outcomes
o Staff cost VS Turnover – making sure the financial accountant has the info he needs to complete
o Updates on compliance with Skills Development Plans –
1. Raymond assists with the financial reconciliation for SARS and Auditing purposes.
o Monthly Reports
o Updated report on all leave taken and approved the previous month
o Workforce analytics (turnover, absenteeism, time-to-hire).
o Payroll summary reports: Variance reporting on head count and labour cost, overtime ext.
1. Raymond will supply the info required from payroll for me to submit.
o Update on new employees as well as reporting on exit interviews conducted.
o Updated on all staff filing, updates on what was done in the month.
o Status of ongoing labour relations matters.
o Quarterly/Annual Reports
o Employment Equity & Skills Development Reports.
o Training and development outcomes aligned with Skills Development Levies (SDL).
o Comprehensive HR performance metrics for executive review.
Employee Relations
o Serve as the first point of contact for employee grievances and disciplinary processes, after direct management has failed to sort out the problem.
o Implement employee engagement and wellness initiatives.
o Ensure all HR practices align with the LRA, Basic Conditions of Employment Act (BCEA), and other South African labour legislation.
o Act as the lead representative in union engagements and collective bargaining agreements.
o Prepare and manage all cases for the CCMA, including drafting notices and managing dispute resolution processes.
Training and Development
o Identify training needs and coordinate development programs.
o Maintain training records and track compliance with required certifications.
o Develop a training schedule for all departments on a quarterly basis
Policy and Documentation
o Develop, implement, and regularly update HR policies and procedures.
o Maintain a comprehensive filing system for all employee records (physical and electronic).
o Ensure confidentiality and compliance with data protection regulations. (POPIA)
o
Compliance
o Ensure adherence to labour legislation and internal policies.
o Manage all workplace policies, including leave, attendance, and performance reviews.
Requirements:
a relevant tertiary qualification, practical experience, and strong knowledge of HR-related legislation and best practices
